# Bulk Editing User Accounts

## How do I update multiple user accounts at once?

You can update user account information for groups of Users with our Bulk Update User Profiles tool. This increases your efficiency; you no longer need to update the same information for users individually. You can choose multiple users to make changes on their user profiles to some fields, as well as, add Roles, add Organization management, or disable accounts. You can also flag fields forcing the users to update those fields before they can take any other action in the platform.

## Update user information fields

You can update several fields for multiple users.

1. From Site Administration on the Users tile, select **Bulk Update User Profiles**, this opens the Edit Users page.
2. Select on **Add Users** to open the Choose User dialog.
3. Search for and select all the users you wish to update and select **OK**.
4. To update the Company, Account Executive, or Organization for your users, under the **Change** heading on the **Basic Information** tab, select the **Choose** link beside the desired field to open a Chooser dialog, search for and then select the item from the search results and select **OK**.
5. To update time zones, under the **Change** heading on the **Basic Information** tab, expand the **Time Zone** drop down and select a time zone for your users.
6. Select **Submit**.

## Add roles or organization management

New roles or organization management can be added to multiple users. Organization management is not needed for students or instructors, but is necessary for all administrative roles, like the Operations Manager role.

1. From Site Administration on the Users tile, select **Bulk Update User Profiles**, this opens the Edit Users page.
2. Select on **Add Users** to open the Choose User dialog.
3. Search for and select all the users you wish to update and select **OK**.
4. To update roles for your users, open the **Roles** tab and select the **Add User Role** link, opening the Choose User Role dialog.
5. Search for and select all the roles you wish to add and select **OK**.
6. To update organization management for your users, open the **Organization Management** tab and check the box beside each organization(s) you want these users to manage.
7. Return to the **Basic Information** tab and select **Submit**.

## Disable users

You can disable users in the platform, this prevents users from logging in to the platform, but does not eliminate their user account.

1. From Site Administration on the Users tile, select **Bulk Update User Profiles**, this opens the Edit Users page.
2. From the **Basic Information** tab, check the **Disable** check box.
3. Select **Submit**.

## Templates

To save time for organizations that frequently make the same changes to user accounts, a template can be saved with all the settings. Once a template has been created it can be updated or renamed.

To create a template,

1. Input all the **Update Users** information or **Flag fields** to be used,
2. Under the Templates heading, select the **Save as Template** link.

To use a template,

1. Under the Templates heading, beside the **For Organization** field, select **Choose**
2. In the Choose Organization dialog, search for and select the **organization** name in the search results, then select **OK**.
3. A **Use Template** drop down appears, use it to select the template you wish to use.
4. Under the User Selection heading, select the **Select Users** link.
5. In the Choose User dialog, search for and select the **users** from the search results.
6. Select **Submit** to update the user accounts.

## Training Key Redemption

The redemption of Training Keys can be used to assign training to users. This is particularly helpful when Subscription Training Keys are purchased from Skillable and given to your Organization. Keys redeemed through this training key redemption enables the training for the user. Any kind of key can be redeemed here.

### Best Practice

- Keep keys separate when assigning to groups. To prevent confusion, assign enrollment training keys for a single class to a group of users. Assign an event training key for a single class to a group of users. Assign course assignment keys for a single course to a group of users.
- Please be aware that for single use keys, the order of the users show in the User Selection section are the order that the keys will be applied from the CSV file.
- A multiple use training key, like an event training key or subscription training key set up for multiple uses per key, can be input and used to redeem up to the number of available uses. Input the key once, then select the users for it.
- Training key redemption is designed to be used alone, however, roles and organization management can be updated along with training key assignment. Any other field selected will be removed from the update.

To redeem training keys to assign training to users,

1. Under the Training Key Redemption heading, download the CSV file from the **Download CSV Training Key Redemption File** link.
2. Open the **CSV file**, under the column heading, **Training Key** input each key you want to redeem without leaving any empty rows between keys.
3. **Save** the file.
4. Under the Training Key Redemption heading, beside the CSV file field, select the **Choose File** button.
5. Search for and select the file.
6. Under the User Selection heading, select the **Select Users** link.
7. In the Choose Users dialog, search for and select the **usernames** from the search results.
8. Select the **Submit** button.
9. Success and failure results will be displayed.

## Flag fields

Flagging fields forces users to make changes before they can access anything in the platform. When a user logs in or if they are in the platform when a flag is submitted, a dialog opens with the submitted field(s) asking the user to update the following information. They cannot proceed until information is submitted for each field.

1. From Site Administration on the Users tile, select **Bulk Update User Profiles**, this opens the Edit Users page.

4. From the **Basic Information** tab, under the **Flag Fields for Change by Users** heading check the box beside any field you want the user to update.

People who interact with the platform. Typically, we can break down users into three categories: Operations Managers, Instructors and Basic Users..

Bulk update user profiles is a tool allowing you to select users to either make changes to all their accounts or flag the user to update information in a field. Templates can be created for routine updates.

Roles contain sets of permissions giving a user access within the platform.

Organization management sets the organizations a user with administrative roles can work within. All entities such as, users, courses, classes, subscriptions, have an organization assigned. An administrative user must have management of the organization to view and work with the entities.

A user role that is assigned to organization administrators. This is the highest level of permissions which customers can receive. It enables users to be able to create and manage users, content, training, pull reports, assign roles and organization management.

A training key is a code given to students to be admitted to training and can also be used for them to create their own user accounts. Training keys can be used to create class enrollments, course assignments or subscription assignments.

Subscription training keys are associated to Subscriptions in the TMS. Keys are created for a subscription profile and distributed to individuals to redeem to create a subscription and gain access to a bundle of courses. Subscription keys can be unique for each individual or a single key can be set up to be redeemed for multiple users.

An organization is assigned to each entity in the TMS, such as, users, classes, subscriptions, and courses. The organization is a basis to determine access given based on roles within the organization and management over the organization.
