Redeeming Class Training Keys

This article is intended to administrators enroll students into Classes using Enrollmentand/or Event Training Keys. Training Keys are a convenient tool that allows you to distribute the keys to students and have them self-register into their classes, removing the administrative burden from the Operations Manager.
Best Practices
When using an event training key, it is recommended that the maximum number of students allowed in the class is set to the actual expected number of students. Since the key can be redeemed by any user, this will allow the administrator to ensure that only students who should be enrolled in the class are enrolled.
An event training key must be unique to each class. To re-use an event training key, you must remove the key from the class before you are able to add it to a new class.
How can I use Training Keys to Register Students for Classes?
Two types of training keys are available to directly enroll students into a class:
Enrollment training keys
Event training keys
For either key, an administrator creates a class and generates the enrollment keys or the event key (see Figure 1 below for the administrator to user flow). All training keys allow users to self-register by creating a user account and provisioning their training. Existing users can login and redeem their key to open their training.
Some setup by our help desk is needed to enable the ability for students to create user accounts from your login page. Please submit a Support ticket at https://skill.info/support for information.

Enrollment Training Keys
Enrollment training keys allow students to register automatically for instructor-led training. With this method, a unique key is generated for each individual user to be enrolled in the class up to the number of maximum students set on a class.
You can provide the training keys to students prior to class to create their own enrollments, then monitor which students have redeemed keys and when.
To create class enrollment keys:
Navigate to the Class profile page.
Select the Training Keys link in the action bar at the top.
On the Training Keys page, select Generate Training Keys.
In the dialog, input the number of keys you would like to create.
Select OK. These keys will only be visible to Operations Managers and may be exported to distribute to students.
You are not billed for enrollment keys, only for the students enrolled in the class. Enrollment keys are redeemable through the end of a class, so they are not recommended for students who may want to take advantage of enrolling for the post-class lab access after a scheduled event.
Main features:
Class enrollment keys are used for instructor-led class deliveries
A key is generated for each enrollment or student
Keys can be generated up to the number of maximum students set for the class
Keys are created from the Training Keys link on the Class profile page
Keys are only valid from key creation through the class' end date
Keys are usually distributed to users through email
Event Training Keys
Event training keys also allow students to register for instructor-led classes. With this method, you create one key for the entire class. This is very easy to use since all students use the same key to enroll.
There are unique benefits to using an event training key. If you have an automated notification set up to send class enrollment reminders, you can provide students with the event training key in the notification using replacement text. In addition, you have options in setting the timeframe when the key is valid. Event training keys have the option of being set to be redeemed before class starts and while it is in session or before class starts, while it is in session, and until post class lab access expires. Post class lab access begins from the class' end date, not on when the key was redeemed.
While the event training key is a simple solution for enrolling students, its use requires special management. It is recommended that when you use an event training key, you set the maximum number of students on the class to match the number of expected students. Because the key can be redeemed by anyone who has it, there is the potential that the key may be given to an unexpected user or a student may accidentally enroll themselves more than once. Setting the maximum students can help keep your roster manageable and accurate.
Event training keys can be generated when the class is created or while editing an already scheduled class.
To add an event training key:
Navigate to the Class profile page and select Edit.
Select Show Advanced Settings.
Under the Basic Information section, after adding a course, select Allow automatic enrollment using event training key.
The Event Training Key is automatically filled in.
You may replace it with a unique training key of your choice, or
Select Generate New Key.
Set either Event training key can only be redeemed until the event ends (default selection) or Event training key can be redeemed during this event or after it ends.
Save.
The event training key displays on the class profile and can be viewed by the instructor or administrators.
