# Creating Temporary Users

As an administrator, you may sometimes have users you wish to provide permissions within your Organization but want these permissions to terminate at a specific date. This function allows these permissions to be assigned for designated period of time, then those permissions will end on the date assigned.

## Best Practices for Using Temporary Users

Temporary Roles are not only useful for temporary employees but can be used to give instructors temporary control over their deliveries or other Administrative roles if necessary.

## Create Temporary Users

You may have a time when you would like to add a role for a user, but only want to give them the role temporarily. Roles default to permanent. However, they can be set to only be in place for a set period of time.

This is done when creating or editing a user.

1. Under the **Roles** tab, select or add a new role.
2. Once the role is added, uncheck **Permanent** to set a temporary role.
3. You will see two options, **Starts** and **Expires**, along with options for dates. Enter the dates you would like the role to start and end.

After you have added the role, you will need to set what organization(s) the user has these rights for. If you are adding an Instructor, Account Executive, or Student role this isn't necessary, but all other roles need to have organizational management added.

## Temporary Organization Management

To add Organization management to a role:

1. Open the **Organization Management** tab and select which organization(s) the user should have management over by checking the box next to the organization.
2. When you are finished, select **Save**.

The user will have the permissions associated with the user role on the start date. After the end date that user role will expire, and the user will no longer have the permissions associated with that role.

An organization is assigned to each entity in the TMS, such as, users, classes, subscriptions, and courses. The organization is a basis to determine access given based on roles within the organization and management over the organization.

Roles contain sets of permissions giving a user access within the platform.

Administrative roles have permissions to view items within the organizations they manage, and so must be given organization management for those permissions to function. An administrator has a role that allows them to view any of the following, user accounts, classes, course assignments, enrollments, or subscriptions.

Organization management sets the organizations a user with administrative roles can work within. All entities such as, users, courses, classes, subscriptions, have an organization assigned. An administrative user must have management of the organization to view and work with the entities.
