    Streamlining Class Creation with Templates

    Best Practices for Using Templates

    Maximize efficiency and clarity when working with templates by adhering to these best practices:
    • Descriptively name your templates to accurately reflect their settings and purpose.
    • Organizations that regularly create classes with uniform settings should consider developing a master template. This simplifies the creation process, requiring only the addition of class dates and potentially an instructor.
    • If your classes fall into distinct categories sharing common elements like the course, surveys, instructors, or certificates, create separate templates for each category to maintain organization and distinction.

    Cloning a Class

    When you need to create a class similar to an existing one but don’t require a permanent template, cloning is your solution. Cloning replicates all aspects of the class except for the dates and generates a new event training key if one was previously set.

    Please note: When cloning a class the Course cannot be changed.

    To clone a class:

    1. Locate and **open the class **you wish to duplicate.

    2. Click the Clone Event link at the top of the class profile.

    3. The Create Class page opens, pre-filled with the original class details.

    4. In the Session Times section,enter the new class dates. The default time zone used is configured on the Organization that the class belongs to. If you would like to override the Organization time zone, specify the time zone of the class using the Time Zone drop-down menu.

    5. Modify any class settings as necessary.

    6. Save your changes to complete the new class setup.

    Creating a Class Template

    To establish a class template, choose an existing class or create a new one with the desired settings:

    1. Access the class editing mode.

    2. In the Basic Information section, tick the Use as template checkbox. You may need to click the Advanced Settings link to view all available fields.

    3. If creating a new class for the template, you will need to schedule dates before saving it.

    4. Save your changes to commit the new class.

    Once a class is marked as a template, it still functions as a class to be used for training and is also included in the template list for new class creation. Additionally, you can locate templates using the Is Template filter on the Find Class page.

    Using a Class Template

    After setting a class as a template, it becomes readily available for crafting new classes. When using a class template you can change the course that is used, you must schedule new class dates, and if an Event Training Key was set up then the new class will have a unique key added.

    Follow these steps to utilize a template effectively:

    1. On the Site Administration page, click Create Class within the Classes tile to access the creation page.

    2. Click Open Templates in the top right corner.

    3. Input any required details and click Search.

    4. Choose the appropriate template from the search results.

    5. Click OK to proceed.

    6. Make any necessary modifications.

    7. Expand Session Times to schedule the class sessions.

    8. Complete your new class by clicking Save.
